I database everything. And cross reference it to hard copies in filing cabinets. Everything copied and stored in at least 3 secure physical locations.

Since I'm just starting out - this is what I'm doing.

Every image has an entry in a database giving all kinds of groovy information about it. One piece of information is a number associated with the set it came from. That number is the identifier in a separate db table that includes where it was purchased from, when it was purchased, file name and relative path of the original archive, filename and relative path of the 2257 info, etc.

IE - for the relative path:

DVD1/scarlettcontent.sets/set_Danielle_10491.zip
DVD1/scarlettcontent.sets/set_ids_Danielle_10491.zip
DVD1/scarlettcontent.sets/HHHH.pdf
(where HHHH.pdf is sales receipt for that set)

It's backed up on two physical machines - and once there's enough content, DVD1 will be burned and filed and DVD2 will be path for additional acquired content.

Given the shelf life of DVD-R, I'll burn the DVDs twice and reburn every year (they are cheap). That way I've got copy on two physical hard disks as well as backups on burned DVDs.

Given any image on the site, it will be easy to query what set it is from and where the records for that set are located.

As far as printed records - I don't plan on having them. Seems like a waste of ink and paper.

as a shooter I have a master list by talent and date then each shoot along with the paper work and copy of the content is filed by date. I don't publish content so I have different needs than a program. -bmb

Lately, we do scan every model release and ID copy, add it digitally to every scene that we produce, plus archive the model releases as a hard copy among with the records, currently by date only.

It's no more than 20 scenes beeing shot at one day and we have the time of the recording on file so it's still findable.

Plus we also have a brand new software developed to keep track with all the scenes that are and were produced, not only due for the purposes of 2257 but also including the full description / technical aspects / formats available / partners database including the type of the license

It will be a hell of a lot of work for someone to file there the 18 000 scenes we have shot up to date.

I have scanned all IDs and all Model Release Forms and placed them in separate folders.

I have a database in Access with all information on the model including all aliases and the location of the Release forms and ID info. Another database has all the shoot information including dates of production and models used (I give each model a unique number that will link to the other tables)

All the tables are linked. Models can be found by their real names or any alias listed for them. I hired a programmer to link everything together and give me some enhancements using forms. For instance the program will calculate the age of a model on the date of a particular shoot. I can also generate a report sorted by age.

Every shoot is given a number. I have thumbnailed every shoot and included compressed vid files into a folder with the number of the shoot. All the depictions and stored in a separate folder.

The whole 2257 data package is on a separate laptop and is updated once a week. The original copy is stored on a hard drive that I access from my work computer.

Tried it. it has free demo.
It has no statistics - what docs for what model need to be added.
It saves docs somewhere inside it's DB. And there is no chance to save them as images (JPG) only to print.

anyway that is the best software on the market because it seems to be the only software of this type.

If you find anything else, please share cause I am not going to buy Ytracker - it has no functions mentioned above.

You can get them from the FSC for free or I have them and several other form contracts you will need for production purposes on AdultBizLaw.com

By the way, I wrote the model release and the 2257 doc for the FSC, so those two docs will be the same, basically.

Hi Frank, The FSC website is undergoing a "complete redesign". They say "If you need specific information and can't find it here, or if you want to sign up for or renew your membership, please contact us at 1-818-348-9373" You might want to give them a call.

At Temple Light Brokers all 2257 hard copies are duplicated and stored with myself and my partners just incase of fire. All my 2257 and or 8 other producers ids & 2257 release forms are add to the niche photo and video sets we sell & a online master copy is created in a data base formatt so everything it together. It took a while for myself and biz partners to do this but feels good to have it all easy to access for ourselves and our clients. with over 14,000 photo sets for sale & 12,000 videos keeping 2257 organized is key. It also does hurt to buy a domain name called www.2257licensed.com that is my site for my content only the other 8 producers content is only seen on my blog in my ig this is due to there work being exclusive for there affiliate programs and sites up until now.

Have you tried USC2257Records.com?

USC 2257 Records provides a web based interface for uploading the required documents and entering the required information. When you are done, you can order a DVD from us for $19.95 (per dvd, typically 1 dvd is plenty) which contains your records and a simple HTML interface to satisfy cross referencing and browsing the data. All documents are stored in the same format in which you upload them - so if you upload a .jpg file, it's stored on the DVD as a .jpg file.

I have all my 2257 docs as a hardcopy in the office as a fail safe but the day to day referencing is done via a database program (beats trawling through a bunch of paper based files)

I joined the FSC, but in my case I thought it was a waste of money. I never got any of my questions answered. I didn't find the contracts you mentioned. The only thing I got for my membership was a list of over priced attorneys emailed to me. Most of which weren't really adult law attorneys. And the one I did find charged me $700 for the initial consult, just for the pleasure of hearing him talk about himself. And when it came time to answer my questions he wouldn't without a $3,500 retainer to start. Then he wanted $350 hour for what he considered extra stuff.

I think the biggest injustice to all of this is that I am only a secondary producer. I want to promote affiliate programs. And to this day, I still don't have the answers I need. So I am not promoting any right now. I piece mealed an agreement together but I am not sure If it is appropriate or overkill. I think it is really stupid to have to list every affiliate program on the compliance statement. What do you do after you reach 100+ sponsors? What records are secondary producers supposed to keep anyways? And is TGP going to be dead because of this?
